Automate employee management and HR

Shift plans, leave requests, time tracking, onboarding, and certificates — everything to do with employees takes time. This page shows which administrative tasks can be automated and what still requires personal leadership.

What happens today

A new employee starts. Someone has to organize onboarding: set up access, hand over documents, file the employment contract, plan the induction. In parallel, leave requests come in by email, shift plans are maintained in Excel, and time tracking is on paper. None of this is difficult, but it eats time.

What can be automated

  • Onboarding checklists with automation

Replaces: Manually working through induction steps — the system creates a checklist, reminds about open items, and documents progress.

  • Digital leave management

Replaces: Capturing leave requests from emails or paper — employees submit requests online, managers approve, and remaining leave is calculated automatically.

  • Shift planning with rule checking

Replaces: Manually checking working hours, rest periods, and availability — the system proposes plans and warns of clashes or legal violations.

  • Time tracking and export

Replaces: Transferring timesheet data to the payroll system — captured hours are exported directly, in the correct format for payroll.

  • Documents and evidence in one place

Replaces: Searching for certificates, qualifications, and contracts in folders and emails — all documents for an employee are centrally and searchably stored.

What stays human

  • Employee conversations and leadership
  • Decisions on hiring and terminations
  • Conflict resolution and team development
  • Appraisals and goal setting

A real-world example

In hospitality, shifts change, sick leave comes at short notice, and holiday planning is Tetris. The shift plan is in Excel, requests come via WhatsApp, and who worked how many hours when is totaled up at the end of the month. A system digitizes shift planning, captures working hours, and exports them to payroll. Hospitality stays flexible but saves the admin overhead.
